Position Title:Director Project Management Office
Location:New York City and Metro Area
Description: Insala, a leading global provider of web based software for organizations implementing career development and talent management initiatives, is currently seeking a high performance individual to join the passionate, creative, and fun Insala Team. Applicants should desire a challenging, technologically advanced, fast paced growth environment to fill the Director Project Management Office position. Reporting directly to the Chief Technology Officer, the Director – Project Management Office (DPMO) must have experience managing complex enterprise solutions projects and staff in delivering solutions to Global 1000 companies, Partners and Channels. In addition, they must have a proven track record of successfully developing, implementing and delivering on project management “best practices” both internally and externally.

The DPMO will need to directly manage projects, primarily in the NYC metro area, until business development necessitates adding additional Project Managers (PMs) to staff. The DPMO would also be responsible for building, owning and managing the worldwide project management team, ensuring that all PMs are employing corporate and industry “best practices” in delivering projects to clients. A key aspect of this role will be interfacing with clients and business development managers in performing needs analysis, developing a project plan and managing the plan through to completion. Successful project management will be achieved through delivering products and services to clients in a timely and cost efficient manner.

Key Leadership/Managerial Responsibilities:

  • Oversees all aspects of PM Office including budgeting, staffing and reporting
  • Leads and directs worldwide PM staff in delivering high quality project support to internal and external stakeholders
  • Provides ongoing support for direct reports with regard to subject matter expertise, industry, client and company knowledge
  • Provides regular feedback to the executive team regarding project status, issues and departmental needs
  • Hires, trains and deploys additional PM and business analyst staff as business needs require
  • Develops key metrics for project status and success tracking
Key Individual Responsibilities:

  • Creates individual project and project template documentation (e.g. – Project Definition documents combining Business Development Manager and Business Analyst/Technical Writer information)
  • Develops project plans outlining action steps and deliverables to ensure timely, quality project delivery within budget
  • Negotiates, reviews and manages project contracts and statements of work in conjunction with other key stakeholders, e.g. – Business Development Manager, Business Analyst/Technical Writer, et al.
  • Reviews and manages change requests to statements of work, project contracts or project plans
  • Liaises with the Resource Planner and other team members to schedule and prioritize multiple projects to ensure adequate staffing resources are available to meet project milestones within the overall build and implementation schedule
  • Conducts project kickoff meeting with team members to explain roles/responsibilities, relationships with other groups, deliverables, timelines, assignments, and status reporting
  • Works in conjunction with the Business Development Manager when liaising with the Client, to manage the client’s expectations ensuring those expectations are met
  • Ensures proper communication with relevant project stakeholders during the build, implementation, QA and testing phases
  • Manages the stabilization phase and liaises with client during review and testing phase prior to deployment of the system
  • Ensures the final product meets the requirements and specification of the client and is delivered to time, budget and quality utilizing best practice project management methodology
  • Conducts weekly project meetings and provides status reports
  • Attends post implementation review with all relevant stakeholders from the client organization and internal project team members
  • Utilizes project coordination methods & standards and software, follows standard methodology for specific project plans and incorporates quality standards in project implementation
  • Identifies opportunities for product and process improvements and submits them to the product improvement process
Key experiences and qualifications of the position include:

  • BA/BS degree in business or related field from accredited college/university
  • 5 to 7 years project management experience implementing strategic HRIS or HRMS software and consulting solutions in mid-to-large sized companies
  • 3+ years background in managing projects in the HR Consulting, Human Capital Management or Talent Management related industries is preferred but not mandatory
  • 2 to 5 years managerial experience overseeing a staff of PMs
  • Extensive project management experience working with multiple internal and/or external stakeholders
  • Risk management experience preferred
  • Vendor and alliance partner experience preferred
  • High-level proficiency with Microsoft software programs (Word, Excel, Access and Project)
  • Knowledge of Project Management “best practices” required; PMP Certification preferred
Required Skills and Personal Characteristics:

  • Excellent verbal, written communication, presentation and listening skills
  • Ability to adapt to new technologies and methodologies as required
  • Capacity to interface with multiple levels of company hierarchy, up to and including C-level personnel
  • Ability to develop and maintain strong working relationships with all internal and external stakeholders
  • Strong time management skills
